Dataflare AI Global Trade Workspace

Inquiries, quotations, documents, translation, mail and knowledge in one workspace, with AI working under your permissions.

Positioning

Not nine tools, one workspace

One directory tree, one permission model, one AI entrance.

Global-trade work crosses files, mail, knowledge and translation. Dataflare puts them in one directory tree under one permission model instead of asking people to move material between products.

AI is not a separate tab: it reads as the person who asked and appears at the step where work happens. Before a write or an outbound send, the full content is handed to a human for confirmation.

Nine modules

One list you can check item by item

Each module maps to a real entrance in the product, not a concept drawing.

01

Drive and documents

Documentation

Files and documents share one directory tree, with permissions granted per node.

  • Node-level sharing and grants; personal and team spaces are separate
  • Collaborative editing, mind maps, attachments, comments and version history
  • Recycle bin and version restore; share links can carry a password and expiry
02

Online Office editing

Documentation

Open and edit Word and Excel in the browser; saving creates a new version.

  • Edit docx and xlsx online without downloading or worrying about version drift
  • Saving never overwrites the original; permissions are checked on read and save
  • Large files stream from the server to the editor; model keys do not enter the browser

pptx is not yet exposed in online editing.

03

Layout-preserving translation

Documentation

A translated file must be ready to send to the customer.

  • docx replaces text nodes only; xlsx handles shared strings and inline text
  • Legacy .xls is converted to xlsx first; PDF is rewritten at its original page position
  • Glossary constraints, translation memory and Chinese / English / Japanese

.doc cannot be translated directly; save it as .docx first. Scans need a vision model or are marked “OCR required”.

04

Glossary and terminology constraints

Documentation

One wrong term can cost money, so terminology is a constraint, not a suggestion.

  • Enterprise glossary; Chinese is required and at least one of English or Japanese
  • Import existing terms from xlsx or csv
  • A missing required term triggers one automatic retranslation; remaining gaps are flagged
05

Knowledge base and retrieval

Documentation

Enterprise material only becomes an asset when it can be found.

  • Extraction, chunking and vectorization; hybrid vector and keyword retrieval
  • Optional reranking; scans go through a vision-model OCR path
  • Citations to the page; permissions are filtered in SQL before results return
06

Enterprise-owned mail domain

Documentation

If communication happens in mail, mail should sit on the company’s own domain.

  • Bind an existing IMAP/SMTP mailbox or use a hosted mail domain
  • Unverified domains do not receive mail; outbound mail carries the enterprise DKIM signature
  • Mail is ingested into the knowledge index and visible only to the mailbox owner

Enterprise admins cannot read member mail bodies.

07

Calendar and scheduling

Documentation

Events, participants and availability; only the people involved see the details.

  • Recurring events, time zones and reminders
  • Accept / tentative / decline and free-busy lookup
  • Details are visible only to the organizer and participants; others see availability
08

AI assistant and experts

Documentation

AI is not a chat box: it uses material under your permissions and asks before acting.

  • Search knowledge, read and write documents, draft mail, create events
  • Writes and outbound sends show the full content for human confirmation
  • Expert packages can bind a knowledge scope and reach enterprise systems through MCP

The built-in order-follow-up expert uses demo MCP data; a real ERP connection is a customization.

09

Organization, permissions and audit

Documentation

Multi-level departments, roles and permission codes; content access only follows node ACLs.

  • A department grant covers every node beneath it
  • Roles gate feature entry and management, not content visibility
  • Operation and login logs are visible to this enterprise’s admins and omit bodies and recipients

A disabled member immediately becomes a non-member.

Translation and terminology

Four formats, three languages, one set of constraints

The format list comes from the implementation; we do not sell “every Office format”.

Formats

docxxlsx.xlsPDF

Glossary languages

中文 / Chinese英文 / English日文 / Japanese

Limits stated plainly: PDF may shrink type inside its original block; legacy .xls loses charts, images and conditional formatting; .doc must be saved as .docx first.

Permission-scoped AI

Ask what the person may see before asking what the model can do

The AI boundary and the human permission boundary are the same line.

No forked retrieval

AI tools and knowledge search share the same node ACLs and filter by the requester.

Declare side effects

Writes and outbound sends show their full content before execution and wait for confirmation.

Citations lead back to the source

Answers carry sources and page numbers; external content is data, not instruction.

Memory has six categories and can be viewed or deleted; the system prompt stays byte-stable within a session.

How it runs

In the cloud, or inside your own machine room

Deployment, mail domain and clients follow the enterprise’s actual constraints.

Private deployment

Run on your own servers, with scripts for backup, restore and version upgrades.

Your own mail domain

A hosted domain receives mail after MX and DKIM verification; outbound mail carries your signature.

Multiple clients

Web workspace, Electron desktop and Capacitor mobile share one account and permission model.
